What we use and why

We use uploaded files, settings, contact, company and delivery details to prepare your quote, answer your request and manage agreed manufacturing. Processing is based on your requested pre-contractual steps and, once ordered, performance of the contract. We retain records required by applicable legal obligations.

Where your data is managed

The shop and enquiries are managed in Portachiavi’s WordPress installation. The quote service uses Google Cloud to calculate quotes and keep files and settings in private storage. WooCommerce handles orders through the payment methods available in the shop. Our mail provider processes confirmations and replies. See the shop privacy policy or contact us for information about providers and applicable safeguards.

How long information is kept

Unsaved drafts are discarded after 20 minutes of inactivity. Automatic cleanup removes files that are not associated with another retained quote. Saved or shared quotes, quotes linked to a cart and orders are excluded. Expiry of a shared link ends access through that link; it does not delete the owner’s quote.

Enquiries, orders and communications are retained to respond to you, manage production and follow up on issues. You can request deletion; records subject to legal retention obligations will be kept for the applicable period.

We keep two small, private views of each part for 30 days to review enquiries and improve the service. These thumbnails are not manufacturing files. They are not published or sent to advertising platforms. You can request their removal at info@portachiavi.es.

Session, links and measurement

Technical cookies maintain your session and cart and restrict file access. Anyone who receives a shared link can view a copy of the quote for 1, 7 or 30 days. You can revoke the link. File downloads are allowed only if you enable them when creating it. Shop orders are accessed through the WordPress My account area.

Received enquiries and orders are recorded so they can be processed even when you reject Analytics. Optional quote-tool measurement uses Google Analytics 4 with your consent and records process stages without sending files, names, phone numbers, email addresses or order notes. The quote service’s own event records are retained for up to 90 days. Review your choice through Cookie preferences in the footer. The quote tool remembers your preference for six months.

Your rights

You can request access, rectification, erasure, objection, restriction and portability where applicable at info@portachiavi.es. You may also complain to the Spanish Data Protection Agency.
